Privacy Policy & Security
This policy explains what data Sphere collects, why we collect it, how we protect it, and the choices you have.
01Who we are
Sphere is operated by [LEGAL ENTITY NAME, e.g. Sphere Labs S.L.] ("Sphere", "we", "us"). For privacy questions, contact hello@insphere.co.
02Data we collect
We collect the data we need to operate the service:
- Account data — email, name, authentication details.
- Network data you provide — contacts, notes, voice notes, calendar and email metadata you choose to connect.
- Usage data — basic logs and analytics needed to keep the service reliable and secure.
03How we use your data
We use your data to:
- Operate Sphere — organize, search, and surface relevant people in your network.
- Generate AI-assisted briefs, drafts, and recommendations for you.
- Keep the service secure, debug issues, and prevent abuse.
- Communicate with you about your account, important changes, and (with your consent) product updates.
04Your content and contacts
You represent that you lawfully possess and are authorized to use any contact and personal information you upload, import, or connect, and that you have any consents required under applicable law (including the GDPR) to do so.
05Legal bases (GDPR)
Where the GDPR applies, we process personal data on the bases of contract (providing the service to you), legitimate interests (improving and securing the service), consent (for optional marketing or specific features), and legal obligations.
06Sharing
We do not sell your personal data. We share data only with:
- Service providers that host and operate Sphere on our behalf, under contract.
- Authorities when required by law.
- A successor in the event of a merger, acquisition, or sale of assets, with notice to you where required.
07Retention
We keep your data while your account is active. You can request deletion at any time. Some data may be retained for a limited period to meet legal, security, or backup requirements.
08Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, email hello@insphere.co.
09Security
We use industry-standard safeguards to protect your data:
- Encryption in transit via TLS for all connections to Sphere.
- Encryption at rest for stored data and backups.
- Access controls and audit logging — least-privilege access for staff, with activity logged.
- Row-level security on user data so your records are isolated to your account.
- Vetted sub-processors under contractual data protection obligations.
- Incident response — we will notify you of incidents as required by law.
No system is perfectly secure. If you discover a vulnerability, please email hello@insphere.co and we will respond promptly.
10International transfers
Your data may be processed in countries outside your own. Where required, we use appropriate safeguards such as Standard Contractual Clauses.
11Changes to this policy
We may update this policy. When we make material changes, we will update the effective date above and notify you in-product or by email where appropriate.
